# Billing & Plans

Kliper offers tiered subscription plans to match your firm's assessment volume and team size. Checkout and billing are handled by **[Polar](https://polar.sh)** as our **Merchant of Record** — card data never touches Kliper, and Polar handles invoicing and any applicable sales tax/VAT at checkout. Usage is tracked across the platform, with in-app usage meters and upgrade prompts.

> Plans meter **active client engagements**, not assessments — a client naturally accumulates
> assessments over the years (annual ROCs, readiness, gap analyses), and none of that counts
> against your plan. Feature availability also varies by tier: the **client portal, BAU program,
> review & QA workflow, Cortex Knowledge Base, readiness reports, and analytics** unlock at Pro;
> **SharePoint and organization-wide 2FA enforcement** at Team; **Enterprise SSO (OIDC) and audit
> log export** on Enterprise. When you hit a plan boundary, Kliper shows exactly which plan
> unlocks the feature.

> Yearly billing is priced at **10× the monthly rate** — roughly two months free (~17% off). The Free plan needs no credit card; start assessing immediately.

### Plan highlights

- **Solo** — For independent consultants — one seat, up to 5 client engagements, unlimited assessments per client, ROC import, and Cortex AI chat.
- **Pro** — For small QSA firms — 10 seats, 25 engagements, plus the client portal, BAU automation, review & QA workflow, Cortex trained on your methodology, and readiness & analytics reports.
- **Team** — For mid-size firms — 25 seats, no limits, organization-wide 2FA enforcement, SharePoint integration, and white-label reports (coming soon).

> **Enterprise SSO (OIDC)** is live on the Enterprise plan — see [Enterprise Single Sign-On](/operations/user-management-rbac#enterprise-single-sign-on-sso). **SAML** and **white-label reports** remain on the roadmap and are marked **Coming soon** — they are not yet available. Everything else listed is live today.

## The 14-day trial

Every new workspace starts on **Pro** for 14 days, with no card required. What you get is exactly the Pro column above: the client portal, BAU, reviews, the Cortex Knowledge Base, readiness reports and analytics, for up to 10 users and 25 client engagements.

- A **trial banner** at the top of the app counts the days down and turns amber for the last three. **View plans** opens Billing; the banner can be dismissed for the session and comes back on your next visit.
- On the Billing page the status badge reads **Trialing** and the current period shows the trial's end date.
- When the trial ends the workspace moves to the **Free** allowances on its own. Everything created during the trial stays readable and editable; what stops is *adding more* beyond the Free limits — a second client, another user — until you upgrade.
- Upgrade at any time from **Billing → Upgrade**. The trial ends the moment a paid plan is active.

> Plan-related notices — **ends soon** seven days before, **expired** when it happens — go to Admins and Managers like every other plan alert. See [Alerts before you hit a wall](#alerts-before-you-hit-a-wall).

## Viewing Your Current Plan

1. **Navigate to Billing**

   Go to **Billing** from the left sidebar, or **Settings → Billing**.
2. **Review Your Subscription**

   The top section shows your current plan with:

- **Plan name** (Free, Solo, Pro, Team, Enterprise)
- **Status badge** — Active (green), Past Due (amber), Canceled (red); other statuses (e.g. Trialing) show in gray
- **Price** and **billing cycle** (Monthly or Yearly)
- **Current period** — start and end dates of the billing cycle

## Usage Tracking

The **Usage** tab gives real-time visibility into how much of your plan's allowance you've consumed. Alongside seats, engagements, exports, and storage, three AI meters track the month's **Cortex messages**, **AI drafts** (Cortex write tools + the Section 7 drafter), and **AI file summaries** — the first analysis of each file is free on every plan. Each metric shows current usage against your plan limit with a progress bar:

When a metric reaches **80%** of its limit, a warning alert appears so you can upgrade before running out of room.

### What happens at a limit

Your **existing data is never affected** — you can always view, edit, and download everything you've already created.

| **Client engagements** | Hard-enforced — adding a client beyond your plan's engagement count prompts an upgrade. Existing clients and all their assessments keep working. |
| **Plan-gated features** (portal, BAU, reviews, Cortex KB, readiness, analytics, SharePoint) | Available on qualifying plans; on lower plans Kliper shows which plan unlocks the feature. Historical data stays readable after a downgrade. |
| **Cortex AI** | Included on every plan. Monthly message, AI-draft, and file-summary allowances apply — at the boundary Kliper names the plan that raises it. Reading and browsing never consume drafting quota. |
| **Users · DOCX exports · Storage** | Tracked and surfaced with the 80% warning; today these are **advisory** — you're prompted to upgrade rather than hard-blocked. |

When a limit stops an action, the prompt says which one: for example *Assessment limit reached. Your plan allows 1 assessment per client.* — with the plan that raises it.

> Your exact, current quotas are always shown on the [pricing page](https://kliper.dev/pricing) and in your in-app **Usage** dashboard.

## Storage Quotas

Each plan includes a storage allowance for uploaded evidence files. The maximum **single-file upload size is 50 MB**.

The billing dashboard shows **Used / Limit / Available** with a usage percentage. The storage allowance is shown for visibility; it is not currently a hard upload gate.

## Alerts before you hit a wall

Kliper warns you rather than letting an allowance run out in silence. Notices go to **Admins and Managers** — the roles that can change a plan — in the app and by email, each linked to Billing.

| **Your plan has expired** | The period ended and the workspace has dropped to the free plan |
| **Payment problem on your plan** | The payment provider reports a failed or overdue charge |

> **Note**
>
> Each alert is sent **once per period**, not on every action that crosses the line — passing 80% and then reaching 95% produces a single warning for that month. Going over an allowance is not announced separately, because the block itself already explains it.

> **Tip**
>
> Silence these with **Usage & plan alerts** in [notification settings](/operations/personal-settings#notifications). Your plan still changes state either way — you just stop hearing about it, so leave them on unless someone else owns billing.

## Managing Your Subscription

### Upgrading

1. **Open the pricing page**

   Click **View all plans** from Billing, or go to the in-app **Pricing** page.
2. **Choose a plan and cycle**

   Toggle **Monthly** or **Yearly**, then click the plan's call-to-action (e.g., **Choose Pro**).
3. **Complete checkout on Polar**

   You're redirected to **Polar Checkout**. Enter your payment details — Polar processes the payment securely as Merchant of Record and applies any tax/VAT.
4. **Return to Kliper**

   After payment you're returned to the billing page. Your new plan and limits are active immediately.

### Changing plan

Already subscribed? The in-app **Pricing** page changes your plan directly — pick the new tier and Kliper applies it through Polar without a fresh checkout, confirming once the change has actually landed.

### Invoices

The billing page lists your **Polar invoices in-app** — view any invoice inline or download it, without leaving Kliper.

### Changing payment method or canceling

Use the **Polar customer portal** — the **Manage in Polar** link on the billing page (`polar.sh/kliper`) — to update your card, change your billing cycle, and cancel.

- **Cancel at period end** — your plan stays active until the current period ends; after that the org reverts to **Free-tier limits** until you re-subscribe (your data is retained).
- **Reactivate** — if a cancellation is scheduled, re-subscribe from the billing page (it takes you to the pricing page) to restore full access.

### Subscription state is verified, not assumed

Kliper doesn't just trust webhook delivery: subscriptions are **regularly reconciled against Polar's records**, webhooks are signature-verified and idempotent, and paid access ends exactly when the paid period ends. A lapsed plan shows as **Free** (with a short "recently expired" note), never as a stale paid tier.

### Past-due payments

If a payment fails, your status changes to **Past Due** and Polar retries automatically. The platform keeps working during the grace period. When payment succeeds you return to **Active**; if all retries fail, the subscription cancels and the org reverts to Free-tier limits until you re-subscribe.

Your live usage is always shown in the in-app Usage dashboard.
